Role of The Fort Collins Welcome Center:

The Fort Collins Welcome Center operates as the city’s primary Visitor Welcome and Information Center while also serving as a musical, artistic, cultural, and communal convening space for Fort Collins. Any event hosted within the facility must respect the Center’s core function of serving visitors and representing Fort Collins accurately, professionally, and inclusively. Events are permitted only when they complement, rather than compromise, daily Welcome Center operations. The availability is mission driven rather than revenue or volume driven.
 
 
2.Guiding Principles and Event Eligibility:

Events hosted at the Fort Collins Welcome Center prioritize public benefit and reflect responsible stewardship of a publicly accessible, visitor serving space. Availability of the Welcome Center is mission driven rather than revenue or event volume driven.

• Eligible events generally meet the following criteria:
     o Open to the public or clearly demonstrate a community wide public benefit
     o Educational, cultural, informational, or touristic in nature
     o Aligned with tourism, education, civic dialogue, or broader community enrichment
     o Hosted by organizations whose work supports community vitality, public engagement, or economic development
     o Designed to elevate understanding of Fort Collins as a place to visit, learn, engage, and explore

Event approval is discretionary
 
 
3. Non-Eligible Uses:

• Private celebrations or social gatherings
• Closed or invitation only events without clear public value
• Internal retreats, holiday parties, or staff only functions
• Events that charge an entry fee
• Events that conflict with the Welcome Center’s role as a visitor serving, publicly accessible space.
 
 
4. Scheduling and Availability:

• Event scheduling is subject to operational needs and staffing capacity
• The internal event calendar is not public
• Recurring dates cannot be guaranteed
• Evening events may be accommodated based on staffing and operational feasibility
 
 
5. Food, Beverage, and Merchandise Standards:

Full meals, food sales, beverage sales, and the service or consumption of alcohol are not permitted during events at the Fort Collins Welcome Center unless expressly approved in advance. Limited light refreshments may be allowed on a case-by-case basis when they follow a simple sip and dip format. The Welcome Center does not sell or serve merchandise, food, or beverages to remain noncompetitive with local vendors and organizations and to preserve the civic, publicly accessible nature of the space.
 
 
6. Fees, Damages, and Accountability:

• There is no fee associated with use of the Welcome Center event space
• Event organizers assume responsibility for damages resulting from negligence or misuse
• Costs associated with significant repair or replacement may be billed to the event signee
 
 
7. All events must comply with Welcome Center policies, operational requirements, and staff direction. Failure to adhere to these standards may result in cancellation or denial of future use. Approval of an event does not constitute endorsement or sponsorship of the hosting organization or its viewpoints.
